This web page outlines the process for submitting a data request to ERDC.

How do I complete a data request?

If you would like to submit a P20W data request for your project, then follow the steps below. 

1. Plan your data request

ERDC needs to understand how you will use P20W data for your project and the type of data you want to request. Review the Plan Your Data Request page to learn more about the information that ERDC needs from you. This compiled list of form questions is a resource to help requesters prepare their responses to ERDC's data request form.

2. Submit your data request form 

Once you have planned your data request, you are ready to submit a data request form using the link below.

All requesters must fill out the Data Requester Contact Information section at the beginning of the form. Your answer to the last question will direct you to one of the three request forms:

  • Individual-level Data or Unredacted Aggregate Data Request Form
  • Redacted Aggregate Data Request Form
  • Legislative Committee Staff and Legislators ONLY – Data Request Form: Only for members of Washington's Legislature who are requesting redacted aggregate data for legislative purposes.

ERDC can no longer accept data requests that use our old Microsoft Word and Adobe Acrobat data request forms.

As of November 8th, 2024, all data requesters must use the web-based form linked above.

 

3. Complete your data table (if needed)

The Individual Data Table includes details from ERDC's P20W Data Dictionary plus additional columns of information that individual-level or unredacted aggregate data requesters must complete and submit with their Individual Data Request Form. If you are requesting individual data or unredacted aggregate data, then you must submit your Individual Data Table to ERDC. ERDC cannot process Individual-level or unredacted aggregate data requests without a supporting Individual Data Table. 

The Aggregate Data Table contains three examples of how ERDC can aggregate data and a blank sheet that aggregate data requesters can use to outline the structure of their requested data. If you are requesting redacted aggregate data, then you have the option to submit an Aggregate Data Table to ERDC.

4. Submit your data table to the ERDC (if needed)

Add your last name to the name of your data table file when you save it (i.e., Data_Table_LastName). Email your completed data table to erdc@ofm.wa.gov

5. Monitor your inbox for approval updates and data questions from ERDC 

ERDC reviews submitted data requests on a weekly basis. The time it takes to finish reviewing depends on the complexity of the data request. Please allow up to two weeks for ERDC to respond and highlight next steps for you to complete. 

Data requesters will receive an email notification about whether ERDC has approved or denied the request. ERDC may contact you with follow-up questions before your request can be officially approved or denied. For more information, please visit ERDC’s review process page.  

6. Track the status of your approved request using ERDC’s public request log 

Once the request is approved, data requesters can use ERDC’s public data request log to track the status of their request. ERDC updates the public data request log every few weeks, depending on the progress made fulfilling requests and workload capacity.

7. ERDC delivers your requested data to you. 

The time it takes for ERDC staff to fulfill a request depends on the complexity of the data and their existing workload. 

Generally, requests for redacted aggregate data take less time for ERDC to fulfill than requests for individual-level or unredacted aggregate data.
